2. Roles: Controller vs Processor
For data we process about our customers (e.g., your account data, billing data, and usage of our platform), Voicelet generally acts as a data controller/data fiduciary.
For data we process on behalf of our customers about their own end users (for example, call recordings, chat transcripts, and contact details processed through the platform), our customer is the data controller/data fiduciary, and Voicelet acts as a data processor/service provider.
Our customers are responsible for providing their end users with their own privacy notices and obtaining any necessary consents. If you are an end user of one of our customers, please contact that customer directly to exercise your privacy rights.
3. Definitions
“Websites” – our websites at voicelet.ai and any related subdomains.
“Services” – our Websites, APIs, applications, and related content and features.
“Information” – any data we collect about you or you provide when using the Services, including personal data.
4. Information We Collect
We collect information in three main ways:

(b) information collected automatically, and
(c) information from third‑party sources.
a) Information you provide

- Support and feedback: information you provide when you contact us, complete forms, respond to surveys, or participate in public forums or testimonials.
b) Information collected automatically
- Usage data: pages visited, features used, clicks, time spent, referring URLs, log files.
- Device and technical data: IP address, browser type, operating system, device identifiers, approximate location (e.g., city/country).
- Cookies and similar technologies: we use our own and third‑party cookies and similar technologies to remember your preferences, secure the Services, analyze usage, and personalize content. Details are provided in our Cookie Policy.
c) Information from third parties
- Third‑party services you connect: if you integrate Voicelet with services such as CRM, calendar, or communication tools, we may receive information (e.g., contact lists, events, or messages) as authorized by you.

- AI and product improvement: we may use de‑identified and/or aggregated data (including customer end‑user data) to train and improve models and to develop new features, unless a customer contract or law prohibits this. We do not use this data to profile identifiable individuals for automated decisions with legal or similarly significant effects without appropriate safeguards.
- Legal and security: protecting our rights, users, and Services; detecting and preventing fraud, abuse, and security incidents; complying with legal obligations and responding to lawful requests from authorities.
- Business transfers: if we are involved in a merger, acquisition, financing, or sale of all or part of our business, personal information may be transferred as part of that transaction, subject to safeguards and notice where required.
6. How We Share Information
- With service providers and sub‑processors: companies that help us deliver the Services (e.g., hosting, cloud infrastructure, analytics, payment processing, email delivery, customer support, AI infrastructure). - For legal reasons: if we are required to do so by law, regulation, court order, or government request; or when we believe disclosure is necessary to protect our rights, users, or the public, or to enforce our agreements.
- Business transfers: in connection with a merger, acquisition, reorganization, sale of assets, or insolvency event, subject to applicable legal requirements.
- Aggregated or de‑identified data: we may share information that has been aggregated or de‑identified so it does not reasonably identify you.

11. Privacy Rights by Region
We operate globally and privacy rights that are available to an individual depend on the place of residence. In addition to the rights mentioned in our policy following are the rights you can avail depending upon the place of your residence.
CALIFORNIA CONSUMER PRIVACY ACT (CCPA)

- You can request certain information about our disclosure of personal information to third parties for their own direct marketing purposes during the preceding calendar year. This request is free and may be made once a year. You also have the right not to be discriminated against for exercising any of the rights listed above.
- The right to contact us – Email address provided in this Privacy Notice, to receive the categories of sources from which your personal information was collected in the preceding year, the purpose for collecting that information, and the categories of third parties with whom your personal information was shared. Please include the details of your request, your full name, and your contact information so that we may respond to your request. An authorized agent may make a request on your behalf. We aim to respond to consumer requests within 45 days of receiving that request. If we require more time, we will inform you of the reason and extension period in writing.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your Personal Data (or to exercise any of your other rights). This is a security measure to ensure that Personal Data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
- We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
DIGITAL PERSONAL DATA PROTECTION ACT (“DPDPA”)
If you are an Indian resident, in addition to the rights outlined in this Privacy Policy, you have the right to request information about how we collect, use, and share your personal information. The categories of information are:-
- Right of Access Information about Personal Data: You have the right to request access and receive certain information about how we use personal information about you and who we share it with.
- Right to Correction of Personal Data: You have the right to request correction of personal information we hold about you where it is inaccurate or incomplete.
- Right to Erasure of Personal Data: You have the right to request deletion of the personal information we hold about you:
- Where you believe that it is no longer necessary for us to hold your personal information;
- Where we are processing your personal information based on legitimate interests and you object to such processing and we cannot demonstrate an overriding legitimate ground for the processing;
- Where you have provided your personal information to us with your consent, and you wish to withdraw your consent and there is no other ground under which we can process your personal information; or
- Where you believe your personal information is being unlawfully processed by us.
- Right to Nominate: You have the right to nominate another individual, who, in the event of your unfortunate passing or incapacity, shall be able to exercise the rights provided to you in accordance with the provisions highlighted in the DPDPA and the rules thereunder.

Withdrawal of Consent: Where you have provided your consent for us to process your personal information, you can withdraw your consent by emailing at contact@voicelet.ai.
12. Children’s Data
We do not knowingly collect or maintain personal information from individuals under the age of 18. If you are a parent of a child under the age 18 years, and you believe that your child provided us with information about himself or herself, please contact us immediately.
13. Public Areas, Third Parties, and Integrations
Voicelet Blog: We have public blogs on our Website. Any information you provide in these areas may be read, collected, and used by anyone. If your personal information appears on our blogs and if you would like to remove it, you can send your request to contact@voicelet.ai. In some cases, we may not be able to remove your personal information, in which case we will let you know if we are unable to do so and why.
Third Parties: We are not responsible for the privacy practices or content of third-party websites, services, or features, even if linked to from our platforms. We encourage you to read the privacy policy of any third-party site you visit or service you use carefully.
We publish customer testimonials on our website, which may contain personal information. We obtain consent to post the customer’s name along with their testimonial. To request the removal of your personal information from a testimonial, please email us at contact@voicelet.ai.
Social Media Widgets: Our Websites include social media features. These features may collect your IP address, which page(s) you are visiting, and may set cookies to make sure they function properly. Social media features and widgets are either hosted by a third party or hosted directly on our site. Your interactions with those features are governed by the privacy policy of the companies providing them.
Third-Party Integrations: We may offer integrations with third-party products, applications, or other functionality not operated or controlled by us (“Third-Party Integrations”). If a Third-Party Integration is with Google (for example, where we offer Google Calendar, Google SSO, and Google Workspaces integrations), then generally, the data we access from Google is listed in the integration flow, and our use of such data is explained on our integration page. Where applicable, our collection and use of data received from Google’s APIs is informed by Google’s Limited Use Requirements.
14. Correcting and Updating Information
If you are our customer and would like to access or delete information that you provided, you may do this by signing in to Voicelet and making the change or by emailing us at contact@voicelet.ai. We will respond to your request within 30 days. We may decline to process unreasonable requests or requests that are not otherwise required by local law.
We retain your information and data that we process on your behalf as long as your account is active, as needed to provide our Services, and as necessary to comply with our legal obligations and resolve disputes.
We have no direct relationship with third parties with whom our users may interact using the Services. Any such party who would like to amend or delete data which may be stored in the Services should direct his or her request to the applicable Voicelet user acting as the “data controller” for such information.
Any such party who no longer wishes to be contacted by a Voicelet user, should contact that Voicelet user directly.

We reserve the right to modify this privacy statement at any time, so please review it frequently. If we make material changes to this policy, we will notify you here and by email.
Effective Date
This Privacy Policy has the same Effective Date as our Terms.
